AI for restaurants: answer the phone during service
AI that answers the phone during service, books tables and drafts your review replies.
A restaurant misses calls in the hours when nobody can reach the phone: mid-service, before opening, after close. We build the AI that answers those calls and messages, books the table into the system you already use and drafts the review replies and catering quotes that pile up between services. Allergy questions and complaints go to a person on your team.
AI we build here
Where teams like yours are stuck
- The phone rings mid-service and nobody can get to it
- Reservation requests sit in the inbox and DMs until the next morning
- Reviews go unanswered for weeks because nobody has the time
- Catering and private-event inquiries wait days for a price
Use cases we ship
Phone answering during service
Our AI lead responder picks up the calls your team can't get to, during service and after close. It answers from what you gave it: your hours, your address and where to park, whether the kitchen is still open, how to order takeout. For a reservation it books the table into your reservation system or takes the details for your host.
Missed-call text back
When a call goes unanswered, a text goes to the caller's number and asks what they need. They can reserve or ask their question by reply.
Reservation and waitlist messages
A request sent by text, web form or social message gets a reply when it arrives. On a full night the assistant says so, offers the times still open, or takes a name and party size for the waitlist your host runs.
Catering and private-event inquiries
The assistant asks for the date, the headcount and the kind of event, then drafts a quote from your own menu prices. You read it, change it and send it yourself.
Review reply drafts
Each new review arrives with a reply drafted in your voice. You approve it, edit it or throw it out. Nothing is posted until you do.
Schedule drafts
Your manager gets a first draft of next week's staff schedule, built from the reservations already in the system, and adjusts it.
Handoff to your staff
Allergy and dietary-safety questions, complaints and anyone who asks for a person go to your team, with the conversation so far attached.
We scope the build with you, ship it to production and hand it over working. That goes for a new project or one that stalled.
How it plays out
Restaurant phones ring hardest when nobody can answer them. A guest wants a table for six on Saturday and calls at 7:40 on Friday, with every table full and the host seating a walk-in. Let it ring and the guest may try the next place on the list. Pick it up and the table in front of you waits. Our restaurant guide covers what the same assistant does with messages, reminders and review requests.
We start with the phone. AI phone answering for restaurants means our AI lead responder sits on the number you already have and picks up when a call goes unanswered or after closing. It says it is an AI assistant for your restaurant, then answers the routine questions from what you told it: your hours, how to find you and where to park, whether the kitchen is still open, how to order takeout. For a reservation it books the table into the system you already use, or takes the name, party size and time for your host. Our general guide to the AI receptionist explains how one answers calls, books appointments and follows up on no-shows.
Some callers it can't help, and we plan for them before launch. A question it has no answer for, an upset guest or anyone who asks for a person gets handed over, by rules you set. It can forward the call. If you'd rather not take calls mid-service, it texts the manager on duty or takes a message and tells the guest when to expect a call back. The handoff arrives with the conversation so far, so nobody asks the guest to repeat it.
Reservation requests come in by text, web form and social message too. The assistant replies when the message arrives, books the table or takes the details, and sends the guest a confirmation. The day before, it can send a reminder the guest answers to confirm or cancel. On a full night it says so, offers the times still open, or takes a name and party size for the waitlist. Your host decides who gets the table.
Then come the jobs that pile up between services. A catering or private-event inquiry gets the questions you'd ask anyway, such as the date, the headcount and the kind of event, and a quote drafted from your own menu prices. Every new review gets a reply drafted in your voice. Your manager gets a first staff schedule for next week, built from the reservations. Quotes, review replies and schedules wait for a person to approve them.
Some things should stay with your people, and we build it that way. The AI does not tell a guest whether a dish is safe for an allergy, celiac disease or any other dietary need, even when you have a full allergen list. A recipe or a supplier can change after the list was written, and cross-contact depends on what the kitchen is doing that night. Those questions go to a person on the floor or in the kitchen, and the AI's part ends at passing the caller or the message on. Complaints work the same way. An unhappy guest gets a person, and the assistant only takes the details and flags the message. Refunds, comps and the final price of an event stay with you as well.
A first project starts with a call. We ask where calls and messages go unanswered today and pick one workflow with you. We suggest the phone first. We agree on the scope with you before work starts, build on the number, inbox and reservation system you already have, and show your team how to run it. If you don't want a voice on the line yet, missed-call text back is the smaller first step. We compared how an answering service, an AI receptionist and missed-call text back are billed.
Before
Calls during service go unanswered or get answered in a rush. Reservation requests sent by message wait until someone checks the next morning. Reviews sit unanswered, and a catering inquiry waits until the owner has a free evening to price it.
After
The AI answers routine calls and takes reservations while the team stays on the floor. Missed callers get a text they can reply to. Allergy questions and complaints reach a person with the details attached. Review replies and catering quotes arrive as drafts, and the owner approves them between services.
Questions owners ask
Can it book into the reservation system we already use?
If your reservation tool lets other software create bookings, we connect to it directly. If it doesn't, the assistant takes the details and passes them to your team to enter. We tell you which one applies before we build anything.
What happens when a guest asks about allergies or gluten?
The AI does not answer whether a dish is safe. That goes for allergies, celiac disease and every other dietary-safety question, on the phone and in messages. It tells the guest a staff member will answer, then passes the call or the message to the person you named on the floor or in the kitchen. Its part ends there.
What does it do with a complaint?
It hands the complaint to a person. The assistant takes the guest's name, the date of the visit and what went wrong, then flags the message for the manager. It does not offer refunds or comps.
What happens to a caller the AI can't help?
It says it doesn't know, then forwards the call or takes a message, by rules you set. A guest can ask for a person at any point in the conversation.
Will guests know they're talking to an AI?
Yes. It says it is an AI assistant for your restaurant at the start of the call or in the first message, and it speaks in the tone you choose.
Does it post review replies on its own?
No. Each reply is a draft. You approve it, edit it or throw it out, and nothing is posted until you do.
How does a first project start?
With a call. We look at where calls and messages go unanswered today, pick one workflow and agree on the scope before any work starts. We build on the phone number, inbox and reservation system you already use, then show your team how to run it.
